HOW IT WORKS?

  4. The driver arrives to unload the goods at the scheduled time
  5. If the driver is delayed or does not arrive, we note it in the system
FEATURES
  • Deliveries, pickups & other custom operations
    You can work on deliveries, pickups. But this is not all. You can define your custo operations. Each operation may have different configuration.
  • Creating appointments
    The app allows easy addition of appointments to the schedule by both the warehouse employee (internal users) and the supplier / carrier himself (external users). The process of adding an appointment by the external user is fully configurable. You can define your data requirment's to make appointment effective.
  • Schedule, filters
    A clear schedule allows you to easily view, edit, add and delete all appointments. Two modes of schedule display are available: a modern timeline and a classic tabular calendar. The schedule is enriched with an elaborate system of filters, which allows us to quickly find the appointments we are interested in at any given time. You can filter by: supplier, warehouse, warehouse gate, warehouse event type, loading unit (cargo unit), statuses, comments. Once set, filters can be saved as a handy bookmark.
  • Loads / cargos
    The software allows you to define any loading units (e.g. different types of pallets, containers, parcels ect.). Each defined loading unit (e.g. EPAL Europallet) contains a certain amount of base loading unit (understood as the number of pieces of goods). This allows to accurately estimate the size of the delivery, predict the unloading time, etc. at each stage.
  • Limits
    The software allows you to define limits at multiple levels and under multiple criteria, e.g. "max 40 appointments per day" or "max 30 pallets on Mondays in the 8:00 - 10:00 window" but also "max 3 drive-ups of company XYZ Ltd. on 24.12.2022 at dock No. 3".
  • Warehouses & gates (docks, ramps)
    Ability to freely define and manage an unlimited number of warehouses and warehouse gates (assigned to these warehouses). Each appointment can (or must) be assigned to such warehouse (or warehouse and gate). The selection of a warehouse and gate within an appointment being created can occur on the supplier (customer) side or on the warehouse side (e.g., the logistics department). Gate selection can occur automatically based on the current load.
  • Users
    It is possible to freely create new users (without restrictions). Each user has an assigned role in the system (e.g., supplier, warehouseman, logistician, administrator). The software allows you to create your own roles with precise rights. A user can be created in the system as a result of registration. Such registration can be done by an external company wishing to schedule an appointment, for example, a delivery. The possibility of such registration can be completely disabled. Each supplier (customer) is assigned to an "Account manager / Guardian" in the system, in other words "Operator", i.e. an employee who handles requests for appointments etc.
  • Pickups
    The software allows your customers to pick up goods based on an order. Such a pickup is registered in the schedule as an appointment. Orders can be imported in bulk from your system.
  • Time slots
    The software allows you to freely define time slots for different days of the week (and if necessary - for different dates). For example, on Mondays there can be three time slots: 7:00 - 12:00, 12:00 - 16:00, 16:00 - 20:00 while on Fridays there are only two windows: 7:00 - 12:00 i 12:00 - 15:00. In addition, exceptionally on 31.12.2022 (New Year's Eve) we have only one morning window 7:00 - 12:00.
  • Custom process
    Do you want suppliers to schedule themselves into "free slots" and then have the logistics department accept such requests for appointments? No problem, a matter of configuration. But maybe you'd rather have the logistics department enter everything into the schedule itself? No problem. Or maybe you don't want anyone to have to confirm appointments at all and just have the supplier schedule an appointment and drive up? That's also ok. In addition, deliveries and pickups may have a completely different appointment process and require completely different data. You can define any "status path" you want as part of the configuration of such appointment processes. Transport is late? You can set it to automatically change the status to "late" or "undelivered." The software can be freely configured for this.
  • Any fields
    Do you want the supplier to additionally provide a phone number for the driver when filling out the appointment form? No problem. How about a chat number? Or to upload a picture of his wife? No problem! :) The system allows you to define any data required by the software as part of the appointment, including files. Some of the appointment data can remain hidden for the supplier e.g. internal remarks / comments of the logistician (e.g. regarding the photo of the wife ^^).
  • E-mail notifications
    The dock scheduling software is equipped with an e-mail machine that notifies of important events. For example, it notifies the supplier about a change in the delivery date made by the logistics department. Or about the addition of a remark/comment to the appointment. Such e-mail notifications can also be sent on the occasion of a status change to X. You can configure everything.
  • Reports
    The system allows you to generate reports, e.g., average unloading time report, top 30 unpunctual suppliers report, comparative report of the number of appointments y/y, d/d, m/m ect.
  • Delays monitoring
    The software will automatically change the status of the appointment to "delayed" after X minutes have elapsed from the planned time of the drive-up, or to "undelivered" status after X hours have elapsed from the planned time of the operation. Such automatic actions are configurable.
  • Attachments / documents / files
    The software can store any files including Goods Outward(s) Note documents, Goods Received Note, delivery note, invoices, photos of the goods ect. within the appointment. It is possible to define top-down requirements for attachments. Such requirements may include file type, size, number of files. Attachments can be required or optional.

    Of course, with each implementation we are open to additional functionality or modifications to adapt the software to your needs.
  • Is it possible to cancel, for example, after 1 month?
    Yes it is, when buying licenses you choose for what period you want to commit. After this period you can resign.
  • Are integrations with external software possible?
    Yes they are. The WHC software can be integrated with any given external software. Each integration will require programmer work and is priced separately.
  • Will I receive a complete pricing before I make a purchase decision?
    Of course - each "tailor-made" version of the software is first precisely priced. Complete pricing is divided into individual functionalities (you can, for example, from the 8 discussed functions, ultimately choose only 3). Such a pricing is sent to your e-mail inbox and is not binding in any way. You can cancel at any time. You can also cancel after the purchase (after the expiration of the term of the purchased license).
  • Does the system support multi-warehouses / multi-gates?
    Yes, WHC system supports managing 2+ warehouses and for each warehouse you can define 2+ gates/docks.
  • Is it possible to assign a different responsible person to each contractor (supplier)?
    Yes it is, a so-called "operator" is assigned to each contractor (supplier). Each operator can have its own administrator account in the system, or only have the authority to confirm (or decline) the appointments of assigned contractors.
  • Can a contractor attach a document?
    Yes, the software provides such an option. The contractor (supplier) has the ability to attach any file. During the implementation of the software, you can freely set the requirement, size and number of such attachments. Then from the calendar level in the administrator panel you can download such attachments (in the form of files).
  • On how many devices can the software be used?
    There are no restrictions on the number of devices.
  • Can the software be used on mobile devices?
    Yes. Views for external users are 100% RWD. For internal-users views (warehouse-side) there is designed desktop view which we recommend to daily use.
  • What is the cost of the software?
    The cost of the entire software including:

    Here we are very flexible. Most clients so far have chosen the option of hosting on their own servers (we, for our part, do not have any access to the company's confidential data - important because of GDPR consent statement). There is also an option to set up the system on our side.
