  • At first, you set operations (e.g. delivery, pickup or custom), warehouses & docks/ramps
  • Second, you choose the possible loading units (packages, pallets, containers, etc.)
  • You determine time slots for deliveries (pickups) with your own limits (e.g. max 30 pallets on Mondays 8:00 - 10:00)
  • You send a link to to suppliers / carriers (or customers)
  • Suppliers books the date and time slot (from all of the available ones) by entering the data you require (e.g. driver details, quantity of goods, contact information)
  • The appointment appears in the calendar (schedule)
  • On the scheduled day, the vehicle with the goods arrives at the yard
  • If the driver was too late - system remember this fact (for future statistics)
"WHC" YARD MANAGEMENT SYSTEM - FEATURES
  • Appointment scheduling for deliveries (unloadings), pickups (loadings), and other custom warehouse operations
    The software enables easy addition of appointments to the schedule by both the logistics department and the supplier/carrier. The supplier's appointment addition process is configurable. Apart from deliveries and pickups, the software allows you to define other warehouse event types during the configuration stage.
  • Appointment scheduling and management with filters
    The clear appointment schedule allows for easy viewing, editing, adding, and deleting of all appointments. The software provides two modes for schedule display, i.e., a modern timeline and a classic tabular calendar. The schedule has an elaborate filter system to find specific appointments, such as by supplier, warehouse, warehouse gate, warehouse event type, loading unit (cargo unit), statuses, and comments. Filters can be saved as bookmarks for future reference.
  • Loading unit (cargo unit) management
    The software allows defining any loading units, such as pallets, containers, and parcels, with a base loading unit quantity. Defining the base loading unit helps estimate the delivery size and predict the unloading time at each stage.
  • Appointment limits module
    The software enables setting appointment limits at multiple levels and under various criteria, such as the maximum number of appointments per day or the maximum pallets on specific days or at specific times. It also allows for setting limits for specific suppliers, delivery times, or warehouse gates, among others.
  • Warehouse and warehouse gate management
    The software enables defining and managing an unlimited number of warehouses and warehouse gates assigned to these warehouses. Each appointment must be assigned to a specific warehouse or both the warehouse and the gate. The supplier or logistics department can select the warehouse and gate during appointment creation, and gate selection can happen automatically based on the current load.
  • System user management
    The software enables creating new users without any restrictions and assigning them specific roles, such as supplier, warehouseman, logistician, or administrator. The software allows creating custom roles with precise rights. The system allows external companies to register and schedule appointments, and each supplier is assigned an account manager/guardian in the system to handle appointment requests. The software also logs all actions performed and annotates them with the exact time and user for future reference.
  • Pickup scheduling for customer orders from the warehouse
    The software enables customers to pick up goods based on an order and registers such pickups as appointments. Orders can be imported in bulk from your system.
  • Multi-language support
    The software can be configured to support multiple languages, allowing users to interact with the system in their preferred language. This is particularly useful for international organizations or those with multilingual teams.
  • Time Slots (Time "Ranges")
    Our software enables you to define time slots for various days of the week, and even for specific dates if necessary. For instance, on Mondays, there can be three time slots: 7:00-12:00, 12:00-16:00, and 16:00-20:00, while on Fridays there are only two: 7:00-12:00 and 12:00-15:00. Moreover, on exceptional days like New Year's Eve, we may have only one morning window from 7:00-12:00. Our system allows for flexible and customizable time slot configurations.
  • Load Balancer
    Our software can operate in a load balancer mode, where each new appointment is automatically allocated to an available dock or ramp. This ensures a balanced workload across all docks, optimizing the efficiency of the logistics operation.
  • Appointment Process - Any Configuration
    Our system provides complete flexibility in appointment scheduling. You can choose to allow suppliers to schedule their own appointments in available time slots, or have the logistics department enter appointments manually, or even eliminate the need for appointment confirmations altogether. In addition, different appointment processes can be defined for deliveries and pickups, with customized data requirements and configurable status paths. For example, if a transport is delayed, the system can automatically change the appointment status to "late" or "undelivered." Our software can be tailored to meet your specific appointment process needs.
  • Appointment Data - Any Format
    Our software allows for the collection of any data required as part of the appointment. This can include phone numbers, chat numbers, or even personal files like photos. You can define specific data requirements for each appointment, and hide certain data from suppliers, such as internal remarks from logistics personnel. Our system is designed to capture all necessary appointment data and ensure seamless communication between all parties.
  • Email Notifications
    Our Yard Management App includes an email notification system that alerts suppliers to important events, such as changes to delivery dates or appointment comments. Status changes can also trigger automatic email notifications to relevant parties. You can configure the email notification system to meet your specific needs.
  • Reports
    Our system provides detailed reporting capabilities, including average unloading time reports, top 30 unpunctual suppliers reports, and comparative appointment number reports. With our comprehensive reporting tools, you can easily identify areas for improvement in your logistics operation.
  • Recording of Delays and Undelivered Transports
    Our software automatically records delays and undelivered transports by changing the appointment status after a configurable time period has elapsed. This ensures that logistics personnel are aware of any issues and can take appropriate action to resolve them. The system is highly configurable to meet your specific needs.
  • Attachments inside appointments
    Our app can store any file e.g, delivery note, invoices, photos of the damaged goods ect.
